Confidential Waste Shredding & Disposal for UK Businesses

Paper carries data too. Contracts, HR files, client records and financial paperwork need the same end-of-life care as a hard drive, and a bin bag of printouts behind the office is a data breach waiting to be found.

Computer IT Disposals provides secure confidential waste disposal for businesses, schools, universities and public sector organisations across England, Scotland and Wales: documents collected by our own BS 7858 vetted staff, shredded on-site at your premises or off-site at our facility in accordance with BS EN 15713, and certified with a Certificate of Destruction within five working days.

What Is Confidential Waste?

Confidential waste is any paper record that would cause harm if the wrong person read it: personal information about staff, customers, patients or students, and commercially sensitive material such as contracts, pricing, bank details and board papers. If a document identifies a person or would be useful to a competitor or a fraudster, treat it as confidential.

Under UK GDPR, your organisation stays responsible for personal data on paper until it is destroyed. That makes confidential waste shredding part of your data protection process, not just a clear-out, and the Certificate of Destruction is the evidence that closes the record.

Can Confidential Documents Go in the Paper Recycling Bin?

No. Mixed paper recycling is not a secure route: bins are open, bags are handled by several people, and whole pages leave your building readable. Confidential paper should be kept in locked storage until it is collected, shredded and certified by a licensed carrier.

The Risk of Getting Confidential Waste Disposal Wrong

Paper breaches are rarely dramatic. A box of files left in a skip, printouts in a recycling bag, an archive room cleared by a general waste contractor. Each one exposes personal data, and each one is your organisation’s responsibility under UK GDPR.

The consequences go beyond regulatory action: notifying the people affected, rebuilding client trust and explaining to your board why records left the building readable. Secure confidential waste disposal costs far less than any of that, and the certificate proves you did it properly.

Paper Shredding and Document Shredding Services

Paper shredding, document shredding and confidential waste shredding describe the same job: turning readable records into unrecoverable shreds under a controlled, documented process. What separates a professional shredding service from a bag of strips is everything around the shredder: vetted staff, secure containers, a recorded chain of custody and a certificate at the end.

Our paper shredding services are built for commercial volumes: archive boxes, filing cabinets, storage rooms and whole records stores. Our document shredding service handles the most sensitive end of that, from HR files to client records, with on-site destruction available when documents must not leave your building.

Commercial Shredding for Large Volumes

Commercial shredding is about scale and planning. A records store with hundreds of boxes needs the right crew, enough secure containers and a collection date that suits your building. We size each job in advance from your estimate, so business shredding runs as one planned operation rather than repeated small visits.

On-Site or Off-Site Shredding: Your Policy Decides

On-Site Shredding at Your Premises

Destruction takes place at your premises, witnessed if required, so confidential material never leaves your building intact. On-site shredding is the right choice for strict information-security policies, regulated records and anything your auditors want to see destroyed with their own eyes.

Off-Site Shredding at Our Facility

Documents are secured in locked containers, transported in our GPS-tracked vehicles by our own employed staff, and shredded at our alarmed, access-controlled facility. Off-site shredding suits large archives and regular volumes, and it keeps your team and your premises free while the work is done.

Either way, destruction is carried out in accordance with BS EN 15713, and you receive the same Certificate of Destruction for your records.

What Happens to the Paper?

Shredded paper doesn’t go to waste. It is baled and recycled into new paper products, consistent with our policy that 100% of what we collect is diverted from landfill. An ESG Report is available on request, alongside your Certificate of Destruction and Waste Transfer Note, so the job counts towards your sustainability reporting as well as your compliance file.

One-Off Confidential Waste Collection

Most confidential waste disposal jobs are one-offs: an office move, an archive room reaching the end of its retention period, a records purge before a fit-out, or a cupboard of files left behind by a department that no longer exists. We handle those as single bookings, sized from a few boxes to a full storage floor.

Tell us roughly how much there is, in boxes, cages or shelf-metres, and whether it needs destroying on-site. We quote it before you book, remove it on the agreed date and certify it after. Confidential waste removal from upper floors, basements and off-site stores is planned in advance, so the crew arrives with the right people and equipment.

Office Moves and Fit-Outs

Office moves are the moment confidential paper surfaces: desk drawers, pedestals, filing cabinets and storerooms emptied at once. We schedule the collection for a specific date to fit your move plan, clear the paper before the removal crew arrives, and collect old IT at the same time, so nothing confidential travels to the new office by accident.

Scheduled Confidential Waste Collections

If your organisation generates confidential waste continuously, we can arrange scheduled collections on set dates, so destruction becomes routine rather than a project. Each confidential waste collection is logged, shredded and certified in the same way as a one-off job, so your compliance file builds up automatically.

Scheduled collections suit law firms, accountants, HR teams, clinics and schools, where paper records reach the end of retention every month rather than once a decade.

Archive Clearances and End-of-Retention Purges

Old archives are one of the most common data risks in any building. Records are kept for good reasons: limited companies must usually keep company and accounting records for six years from the end of the financial year they relate to. But once a retention period ends, keeping personal data longer than you need it conflicts with the UK GDPR storage limitation principle.

An end-of-retention purge is the clean way through: agree which records are due, box them, and have them shredded and certified in one job. The Certificate of Destruction records the date and the method, so you can show exactly when the records were destroyed.

How to Dispose of Confidential Waste

If you’re working out how to dispose of confidential waste as a business, the secure route comes down to five steps:

  1. Identify what is confidential. Anything with personal data or commercially sensitive information goes into the confidential stream.
  2. Store it securely. Keep it in locked storage or a locked room until collection, not in open boxes or recycling bins.
  3. Choose on-site or off-site. Match the method to your information-security policy.
  4. Use a licensed, vetted provider. Check the waste carrier registration and staff vetting before any paperwork leaves your site.
  5. Keep the evidence. File the Certificate of Destruction and the Waste Transfer Note with your data protection records.

Our confidential waste shredding service covers every one of these steps. For the secure disposal of paperwork at scale, it replaces hours of desk shredding with one planned collection.

Keeping Documents Secure Before Collection

Until collection, keep confidential paper in a locked room or lockable cabinet, separate from general recycling so it can’t be mixed up. Label the boxes and keep a rough count. It makes the collection faster and gives you a record of what was handed over.

Why Not Use an Office Shredder?

Desk shredders are fine for the odd sheet, but they are slow, they jam on binders and staples, and they tie up staff time on large volumes. They also leave no audit trail: nothing records what was destroyed, when, or by whom. For archives and regular volumes, professional confidential shredding is faster and gives you certified proof.

Paper and IT on One Visit

This is where our confidential waste disposal differs from paper-only shredding companies. Clearing an archive room usually means clearing old IT too: the PCs, laptops and servers that held the same records in digital form. Documents and hardware can be collected on the same visit, under one booking and one audit trail.

Paper is shredded to BS EN 15713. Hard drives go through certified data destruction, and the hardware is processed through our IT asset disposal or computer recycling service. Print-room clear-outs can include the printers themselves through our printer recycling service. One visit, one reference, one compliance pack.

BS EN 15713 and a Secure Chain of Custody

BS EN 15713 is the standard for the secure destruction of confidential material. It covers how material is collected, transported, stored and destroyed, and how destruction is recorded. Our confidential shredding is carried out in accordance with it.

  • Vetted people: collections and shredding by our own directly employed, BS 7858 vetted staff, never third-party couriers.
  • Secure transport: documents in locked containers, in GPS-tracked vehicles.
  • Secure facility: alarmed, access-controlled and CCTV-monitored around the clock by an external security company.
  • Registered: ICO registered (ZA246798), Upper Tier Waste Carrier (CBDU457511), ISO 9001, ISO 14001 and Cyber Essentials Plus.

Every job is logged against a collection reference, from the moment documents are secured to the moment the certificate is issued, so there is no gap in the record.

Confidential Waste Disposal and the Law

Two sets of rules apply. Under UK GDPR, personal data on paper must be kept secure and destroyed when it is no longer needed, and your organisation must be able to show how it was done. Under the waste Duty of Care, waste paper must only be handed to a licensed carrier, with a Waste Transfer Note recording the transfer.

A Certificate of Destruction and a Waste Transfer Note together meet both: proof that the data was destroyed securely, and proof that the waste went through a legal route. Keep them with your data protection and waste records.

Who Is Responsible for Confidential Waste?

The organisation that holds the data. Under UK GDPR, you stay accountable for personal data until it is destroyed, even when a contractor does the shredding. That is why choosing a vetted, licensed provider and keeping the Certificate of Destruction matter: they are how you show the job was done properly.

Confidential Shredding for Every Sector

Confidential waste looks different in every organisation. Law firms and accountants hold client files and case papers. Healthcare providers hold patient correspondence and administrative records. Schools, colleges and universities hold student records, coursework and exam papers. Public sector bodies hold case files and archives. Every business with staff holds HR and payroll records.

Whatever the sector, our confidential waste disposal service runs to one standard: vetted staff, BS EN 15713 destruction, and a Certificate of Destruction for every job. The service is set up for businesses and organisations; home users can contact us about a chargeable collection.
