Printer Recycling & Disposal for UK Businesses
From the desktop laser in a two-person office to the free-standing photocopier, the floor-standing production machine and the handheld label printer on a warehouse belt, every printer a business retires is electrical waste. Much of it is heavier and more hazardous than it looks, and more of it stores data than most people realise.
Computer IT Disposals provides secure printer recycling for businesses across England, Scotland and Wales: printers, photocopiers and MFDs collected and recycled, stored documents destroyed with certified data destruction, toner cartridges of every brand taken, and a full compliance pack within five working days, on the same paperwork as the rest of your IT.

What Is Business Printer Recycling?
Printer recycling is more than taking old machines away. Every printer is electrical waste under the WEEE Regulations, so it must go to a licensed facility where plastics, metals, circuit boards and consumables are separated and recovered. Many modern machines also hold copies of the documents they printed or scanned, and toner and ink need their own handling.
Professional printer disposal deals with all three in one visit: the hardware is recycled, the data is destroyed and certified, and the consumables are classified and moved under the right paperwork. You get one set of documents proving each step was done properly.
Whether it’s one computer printer under a desk or a whole floor of MFDs, the steps are the same, and recycling printers through one provider keeps your audit trail in one place.
Can You Put a Printer in the Bin?
No. Printers are electrical and electronic equipment, so they can’t go in general waste, a skip or a recycling bin. Businesses must use a licensed waste carrier and keep a Waste Transfer Note under their Duty of Care. A broken printer is still WEEE, and still needs the same compliant route.
How to Dispose of Old Printers in the UK
If you’re working out how to dispose of old printers as a business, the compliant route is short: use a licensed carrier, deal with any stored data, separate the consumables and keep the paperwork. In practice, that means five checks:
- Check for stored data.MFDs, photocopiers and many networked printers hold documents, scans and address books. Treat them as data-bearing devices, not just plastic and metal.
- Separate the consumables.Toner, ink and drums need classifying, and some consignments need hazardous waste paperwork.
- Use a licensed waste carrier.Check the carrier’s Environment Agency registration before anything leaves your site.
- Get a Waste Transfer Note.It records what left, where it went and who took it, and your Duty of Care requires you to keep it.
- Keep the certificates.A WEEE Certificate and, where data was involved, a Data Destruction Certificate complete your audit trail.
Our printer recycling service covers every one of these checks in one collection. The same process applies when you recycle old printers from a single office or dispose of computer printers across a whole estate.
Why Not Use a Drop-Off Point?
Retail drop-off points and council recycling centres are set up for households. Most don’t accept business waste, they don’t issue a Waste Transfer Note in your company’s name, and they aren’t set up to destroy and certify the data on an MFD. For a business, that leaves a gap in the Duty of Care record and a data risk sitting in a bin.
Business printer recycling closes both gaps: a licensed carrier, paperwork in your company’s name, data destroyed and certified, and every printer, cartridge and toner bottle accounted for.
Photocopiers and MFDs: The Data Risk Nobody Briefs
A modern MFD is a computer that happens to print. Many carry internal storage holding copies of scanned and printed documents, plus address books, network credentials and job logs. Send one to a skip and the documents go with it.
Every data-bearing printer we collect goes through certified data destruction before the hardware is recycled: storage is erased or removed and shredded, with the method recorded on your certificate. If it scanned your contracts, it gets treated like the computer it is.
Photocopier Recycling and Disposal
Free-standing photocopiers are heavy, awkward and often on the upper floors of city buildings. We plan photocopier disposal properly: the right crew and equipment for stairs, lifts and loading docks, internal storage destroyed and certified, toner and developer units removed and classified, and the machine recycled at our licensed facility.
Large-Format and Industrial Printer Disposal
Production printers, large-format plotters and CAD printers (A2, A1, A0 and roll-fed machines from architecture studios, engineering firms and design houses), label presses and industrial marking machines are a logistics job as much as a recycling one. Units can weigh hundreds of kilograms, with tight corridors and dock-level extraction, sometimes from a live production line.
We plan it properly: a free site survey for larger machines, safe extraction with the right equipment and crew, consumables such as toner, ink systems and developer units separated and classified, and the machine’s data-bearing controllers treated as data devices. One machine or a whole print room, your printer recycling is planned, removed and documented.
Handheld and Portable Printers
Warehouses, logistics operations and retail run on handheld label, receipt and barcode printers, with Zebra and Honeywell among the regulars, and they retire by the crate: devices, docks, chargers, batteries and spares together. Batteries go into their own battery recycling stream, quantities are counted onto your paperwork, and the whole crate is processed with the same accountability as a rack of laptops.
Operational IT clear-outs, with handhelds, scanners and EPOS equipment alongside the printers, are routine work through our computer recycling service.
Scanners and the Rest of the Print Room
The printer rarely retires alone. Document and flatbed scanners (high-volume production scanners hold images in memory, so they are treated as data-bearing), franking machines, guillotines, laminators, binding and finishing equipment, spare trays, feeders and consumable stock all clear in one visit, counted onto one set of paperwork.
Paper waste from the print room can go on the same printer recycling visit through our confidential waste shredding service, so the whole room is cleared under one collection reference.
Toner Cartridge Recycling and Disposal
Toner is one of the most regular enquiries we take, and the answer is simple: yes. Our toner cartridge recycling covers every brand and format in any quantity, from a carrier bag of cartridges to pallet-loads from a managed-print refresh. Used, part-used and boxed new stock for printers you no longer own are all taken, collected alongside your printers or with any IT collection.
Cupboards full of cartridges for printers retired years ago are one of the most common finds in any office clear-out. We take the lot, so the cupboard empties the same day the printers do. Toner-only clearances are assessed honestly too: send us the quantities and we’ll advise.
Ink and Printer Cartridge Disposal
Inkjet cartridges, drums, waste toner bottles and developer units are all part of the same service. Printer cartridge disposal is counted and classified with the toner, so a mixed box from the stationery cupboard is recorded with the rest of your printer recycling collection rather than needing a separate visit.
Are Toner Cartridges Hazardous Waste?
Some are. Waste toner and ink are classified as hazardous only when they contain dangerous substances, so the classification depends on the product. We classify each consignment for you, prepare hazardous waste paperwork where it’s required, and count everything onto your Waste Transfer Note, signed digitally on our ITAD management system with copies emailed the moment it’s signed.
What Happens to a Printer After Collection?
Collected printers travel with our own directly employed team, in locked cages and GPS-tracked vehicles, to our Environment Agency licensed facility in Nottingham. Nothing is handed to third-party couriers along the way, and every item is logged against your collection reference.
At the facility, data-bearing storage is dealt with first, then consumables are removed and classified. The rest of each machine is dismantled and separated into material streams, such as plastics, metals, circuit boards and cables, so the materials are recovered and recycled rather than landfilled. Your ESG Report then quantifies what was recycled and diverted from landfill for your sustainability reporting.
The facility is alarmed, access-controlled and CCTV-monitored around the clock by an external security company, so your printers and the data on them stay secure from collection to certificate.
Printer Recycling for Every Type of Organisation
Printer recycling needs differ by sector. Law firms, accountants and financial services teams scan client files every day, so MFD storage is the priority. Architecture, engineering and design practices retire large-format plotters. Warehouses, logistics and retail clear handheld label and receipt printers by the crate. Schools, colleges, universities and public sector offices refresh whole fleets on a programme.
Whatever the sector, the service is the same: a planned collection, stored data destroyed and certified, consumables classified, and one compliance pack for your records.
Managed-Print Refreshes and Lease Returns
Whole-fleet printer recycling and print-room clearances are routine work. When a managed-print contract ends or a new fleet arrives, we collect the outgoing machines site by site, destroy the data on every MFD, take the leftover consumables and give you one set of paperwork for the whole programme.
Collections can be scheduled for a specific date to fit a lease return or office move, and multi-site clearances run to one schedule with consolidated documentation per collection. It all sits within our full IT asset disposal service, so printers can travel with servers, computers and monitors on one visit.
Is Printer Recycling Free?
Printers are collected alongside your other business IT at no extra charge on qualifying collections. They don’t count towards the free collection qualifying volume itself, which is based on items such as desktops, laptops and servers, typically 20 or more.
Printer-only or toner-only collections, and very large industrial machines, are assessed individually. Send us the details and we’ll advise honestly. Any charge that ever applies is agreed and approved by you, or your finance team, before anything is booked.
What Affects the Cost of Printer Disposal?
Where a charge does apply, it depends on practical things: the number and size of machines, access at your site (stairs, lifts and loading bays), whether industrial equipment needs extraction, and the quantity of consumables. Send us a list or photos and we’ll confirm the cost of your printer recycling before anything is booked.
Printer Disposal and the Law
Printers are electrical waste, so they must be recycled under the WEEE Regulations and handed only to a licensed carrier with a Waste Transfer Note under your Duty of Care. Consumables classified as hazardous waste must move under consignment paperwork, which we prepare and complete for you.
If a printer or MFD stores personal data, UK GDPR applies too: your organisation stays responsible for that data until it is destroyed. Our process covers every obligation in one collection, and our WEEE recycling service handles any other electricals from the same site.
Your Compliance Pack
Every printer recycling collection ends with one pack under a single collection reference, within five working days of processing, and everything is ready for your compliance team. The pack includes a WEEE Certificate, which confirms your printers were collected and processed under the WEEE Regulations; a Data Destruction Certificate, which records the storage destroyed and the method used for each data-bearing device; an ESG Report, which quantifies what was recycled and diverted from landfill; an Asset Audit, which lists logged items by make, model and serial number where required; and a Waste Transfer Note and hazardous consignment notes, which form your Duty of Care record for the collection.
