Members’ Personal Data
204 hard drives and 114 backup tapes held members’ records, casework and HR data covered by UK GDPR that had to be provably destroyed.
Legacy Backup Archives
Years of data tapes and optical discs, easily overlooked and rarely erasable, each had to be tracked and physically destroyed, not simply wiped.
Governance Evidence
Every drive, tape and disc had to be reconcilable line by line against the union’s asset register — the form an internal audit or DPO expects.
Full Compliance
UK GDPR and the WEEE Duty of Care both had to be satisfied, with certificates and a serialised audit trail as evidence.
Our Solution: End-to-End IT Recycling Process
1. Planning
Collection scheduled around the union’s operations, with the erase-or-crush route agreed for each device.
2. On-Site Audit
All 366 items logged and counted onto the Waste Transfer Note before anything moved.
3. Secure Collection
Loaded by our own BS 7858-screened team into a GPS-tracked vehicle — one unbroken chain of custody.
4. Data Destruction
Reusable drives erased to HMG Infosec Standard No. 5; 204 loose hard drives physically crushed and 114 data tapes destroyed, each logged by serial or barcode.
5. Reuse & Recycling
Working equipment refurbished for reuse; the rest, including 10 boxes of mixed WEEE, recovered for materials. 100% diverted from landfill.
6. Certification
WEEE Disposal and Data Destruction Certificates issued under one reference within five working days.
