167 laptop drives held clinical notes and service-user data — special category health data under UK GDPR — that had to be provably erased before any device was reused or recycled.
A Whole-Fleet Refresh
A single refresh of 167 laptops had to be collected, counted and reconciled against the provider’s asset register in one visit.
Reuse Without Risk
The laptops had working life left in them. Each had to be erased to a certified standard so it could safely re-enter circulation rather than be destroyed.
Full Compliance
UK GDPR, the duty of confidentiality and the WEEE Duty of Care all had to be satisfied, with certificates and a serialised audit trail as evidence.
Our Solution: End-to-End IT Recycling Process
1. Planning
Collection scheduled around the provider’s operations, with the whole laptop fleet booked into one visit.
2. On-Site Audit
All 171 items logged and counted onto the Waste Transfer Note before anything left the office.
3. Secure Collection
Loaded by our own BS 7858-screened team into a GPS-tracked vehicle — one unbroken chain of custody.
4. Data Destruction
Every laptop drive, and the photocopier’s internal storage, erased to HMG Infosec Standard No. 5, the UK Government standard, and certified per device.
5. Reuse & Recycling
Erased laptops with working life left refurbished for reuse — the lowest-carbon outcome; the rest recovered for materials. 100% diverted from landfill.
6. Certification
WEEE Disposal and Data Destruction Certificates issued under one reference within five working days.
