IT Asset Disposal (ITAD) Services for UK Organisations

ITAD stands for IT asset disposal, also called IT asset disposition. It is the managed end of the IT lifecycle: every retired laptop, server, phone and storage device is collected, its data destroyed to a named standard, the hardware reused or recycled, and the whole process documented so your organisation can prove what happened to each asset.

It’s the difference between equipment disappearing and equipment being provably, defensibly dealt with. Recycling is one stage of ITAD. A full ITAD service wraps it in security and evidence: chain of custody, certified destruction, serialised reporting and compliance documentation. The disposal of IT assets is where good data security most often breaks down. Equipment leaves the building on a busy day, passes through several hands and ends up resold or scrapped with data still on it. Formatting a drive or resetting a laptop doesn’t remove that data, and the organisation that owned it remains accountable.

The consequences go beyond a fine. A breach traced to a discarded device means ICO scrutiny, contractual exposure with clients and hard questions from auditors about why there was no record. There is an environmental duty too: IT equipment is electrical waste, and sending it to landfill or an unlicensed operator breaches your Duty of Care. Most disposal companies manage collections on spreadsheets and paperwork typed up after the fact. Reuse comes first, because extending the life of working equipment is the best environmental outcome. Everything that can’t be reused goes to IT asset recycling at our licensed facility, where materials are separated and recovered, with 100% of collected equipment diverted from landfill.

Your ESG Report quantifies what was reused, recycled and diverted from landfill for each collection, giving your sustainability team reportable, boardroom-ready figures for ESG and CSR commitments rather than a vague assurance.

Every collection is carried out by our own directly employed team, never third-party couriers. Equipment is counted item by item at your site and recorded onto your Waste Transfer Note and Duty of Care documents, signed digitally on our ITAD management system, which emails your copies before our vehicle leaves.

Assets travel in locked cages and secure containers in GPS-tracked vehicles, direct to our Environment Agency licensed facility in Nottingham: alarmed, access-controlled and CCTV-monitored around the clock by an external security company. Each consignment is checked in against the collection record before processing begins, so nothing moves without a record.

IT asset disposal at scale is a logistics discipline as much as a security one. We run fleet-scale laptop refreshes reconciled against your asset register, lease returns scheduled for a specific date, and office relocations and closures cleared in one visit with one set of paperwork.

Two obligations sit on every organisation disposing of IT. Under UK GDPR and the Data Protection Act 2018, the data on retired equipment remains your responsibility until provably destroyed, and the National Cyber Security Centre’s guidance on secure sanitisation of storage media sets out how that should be done.

Under the WEEE Regulations and your Duty of Care, the equipment itself must follow a documented route through a licensed operator, with hazardous items moved under consignment paperwork. ITAD companies vary widely in what they actually protect. Whether you call them IT asset disposal companies, IT asset disposition companies or ITAD providers, check these before you sign:

• Licences:a registered waste carrier and a permitted treatment facility. You can check any carrier on the Environment Agency public register; ours is Upper Tier, CBDU457511.
• Named data standards:HMG IS5, NIST 800-88 or BS EN 15713, not just “secure wiping”.
• Serial-level reporting:certificates you can reconcile against your asset register, not batch totals.
• Who handles your assets:directly employed, vetted staff, or subcontracted couriers.
• ICO registration and security certification:such as Cyber Essentials Plus and BS 7858 staff screening.
• One reference for everything:paperwork, certificates and audit trail tied together, so evidence is easy to find later.

For many organisations, IT asset disposal costs nothing, and some receive money back. Three things decide it: volume, value and the specialist services your policy needs.

• Volume:collection is free for qualifying business volumes, typically 20 or more qualifying items such as desktops, laptops and servers. Printers, keyboards and monitors are welcome alongside but don’t count towards the volume, and lower volumes may still qualify.
• Value:recent working equipment can earn a rebate or collection offset that reduces or outweighs any charge.
• Specialist handling:on-site shredding may carry a charge, and complete device destruction and CRT, plasma and large interactive displays are chargeable.
